Board of Directors Meeting Notes

The board of directors met for a regularly scheduled meeting on Jan. 22, 2024. These are the notes from that meeting.

Board Members Present: Dan Buescher, Dirk Close, Nancy Eckstein, Dave Edington, Chuck Heitbrink, Bob Lama, Bob Morris, and Manager Layne Varney

The meeting was called to order by President Nancy Eckstein at 10 a.m.

The minutes of the Dec. 18, 2023, business meeting and organizational minutes were accepted.

Treasurer’s Report: Chuck Heitbrink

Chuck thanked the board for having confidence in voting him as treasurer.

Cash on hand at the end of November:

Manager’s Report was given by Layne Varney.

The first half invoices were mailed on Tuesday, Nov. 28, 2023. The Horizon Room completed several large catering events. All were successful. Maintaining staff is continuing to be a challenge. The clubhouse is packed, and events are selling out fast. Cornhole will now be meeting on the sport courts. Repairs were made to kitchen exhaust fan, ordered new handwash sink in ballroom, changed air purifiers, serviced and repaired fitness equipment, tightened handrails around clubhouse, serviced ADA chair lifts at pool, and cleaned and replaced lights at sport courts. Summer work was focused on the clubhouse roof, deck, and balcony. Weeds in the common area will be treated with pre-emergent spray in February. Residents are reminded not to give out their passcodes and/or remote control to vendors. There are many new and exciting activities coming in the next few months.

Committee Liaison Reports

ACC Committee: Met on Nov. 21, 2023. Volunteers will be picking fruit starting Jan. 23. Year-to-date 489 permits have been issued. No meeting was held in December. Next scheduled meeting is Jan. 17, 2024.

Finance Committee: The committee meets on the first Tuesday of the month at 3 p.m. in the Lakeview Room. The committee is recommending that Jim Anderson be approved for membership on the committee.

Golf Club/HOA Committee Meeting: Met on Jan. 11, 2024. All members were in attendance. Minutes of the Dec. 14 meeting were approved. Rental golf carts will now only be parked in the “corral.” Next scheduled meeting is Feb. 8.

Rules Committee: They are continuing to monitor different intersections for compliance with the traffic restrictions. Next scheduled meeting is the first Monday of the month at 1 p.m. in the Apache Room.

Project Review Committee: Committee is looking at the lighting around the clubhouse. They are also looking at additional signage along Cooper Road. Next meeting is scheduled for Feb. 1 at 1 p.m. in the Pima Room.

Welcoming and Marketing Committee: The new homeowner Meet and Greet is scheduled for Jan. 24 in the ballroom. Eighty homeowners have accepted the invitation.

Nancy Eckstein announced the 2024 committee liaison assignments. ACC is Dirk Close; Finance is Chuck Heitbrink; HOA/Golf Club is Nancy Eckstein, Dan Buescher and Dirk Close; Project Review is Dan Buescher; Rules Compliance is Bob Morris; and Welcoming and Marketing is Bob Lama. During the coming year, some manuals will be reviewed, and Dave Edington and Nancy will co-lead this project.

Chuck Heitbrink made the motion to appoint Jim Anderson as a member of the Finance Committee. Motion was seconded. Motion passed 7-0.

Nancy reminded liaisons to have the list of committee members and chairperson to Layne by Feb. 19.

Nancy made a motion to approve the agenda of the annual meeting scheduled for March 4 at 7 p.m. The motion was seconded. Motion passed 7-0.

There was a discussion regarding the need for homeowners to identify themselves and place of residence when making comments to the board. The board decided that more information was needed. This item was tabled.

Nancy gave an update on the Superior Court lawsuit. A resident has filed a lawsuit against SunBird with the Superior Court, Case number CV2023-05389. This claim is regarding the amendment to the CC&Rs, which he is alleging not to be legal. Homeowners approved the CC&R amendment in 2021 with 983 lots approved, 288 lots disapproved, and 26 lots indicated they were undecided. SunBird has submitted all responses to the courts. We are waiting for the judge to rule on SunBird’s motion to dismiss and motion to strike plaintiff’s cross motion for judgment on the pleadings. The last filing was on Dec. 14, which was plaintiff’s reply opposing SunBird’s motion to strike.

Layne Varney reviewed the Homeowner Comment Sheet. Comments were made by homeowners and directors. The meeting was adjourned at 11 a.m.

The next scheduled board of directors meeting is scheduled for March 25, 2024, at 10 a.m. in the ballroom. The annual membership meeting is scheduled for Monday, March 4, 2024, at 7 p.m.
