Board Notes

A board of directors open business meeting was held on Sept. 22 at 10 a.m. in the ballroom. The following are notes from this meeting. Board Members Present: Marianna Buescher, Nancy Eckstein, Dave Edington, Chuck Heitbrink, Bob Lama, Bob Morris, Brendan Waddell, and Manager Layne Varney.

The meeting was called to order by President Nancy Eckstein at 10 a.m. Nancy Eckstein reviewed the videotaping policy and other housekeeping. The minutes of May 19, 2025, board of directors business meeting and June 5, June 19, July 2, July 23, Aug. 6, Aug. 13, and Sept. 17, 2025, executive session meetings were accepted 7-0.

Treasurer’s Report:

Chuck Heitbrink: These are the results through the end of July, as the results for August are still being finalized:

Operating Account: $648,114

Contingency Fund: $315,907

Reserve Fund: $1,096,848

Capital Improvement Fund: $20,737

Community Fund: $72,903

From the Reserve Fund: In the kitchen a new bar sink, a new oven, and a new compressor for the walk-in cooler were added. A filter was added to the pool equipment. Several clubhouse plumbing issues were addressed. Two new ADA doors and several fire safety items were added. The Navajo Room floor was completely redone. New light fixtures and poles were added around the clubhouse for lighting and security. A new treadmill was added to the Fitness Room. The vehicle gate controller at Riggs Road was replaced, and new tire shredders were added to all gates.

From the Capitol Improvement Fund: Lakeview window blinds. Light fixtures in the clubhouse hall. Lapidary Room cabinets. Clubhouse lobby windows.

Manager’s Report was given by Layne Varney. For the second half assessments, there are 10 past-due accounts to date.

Clubhouse and Facilities: The carpets have been cleaned in the halls, Lakeview Room, and the Fitness Center. The windows in the clubhouse lobby have been replaced. Swimming pool received many upgrades: new deck drains, painting, signage, LED lighting, filters replaced, Jacuzzi tile replaced. Main hall lights were replaced with LED lights as well as outside recessed lights. The trim of the exterior of the clubhouse was painted. The flat roof above the upper hallway and Horizon Room was replaced. A couple of air conditioner units were replaced. New ceiling tiles throughout the clubhouse. Water shut-off valves are being added to the clubhouse.

Roads: 150 street signs have been replaced to date.

Common Area Landscape: All trees and palms have been trimmed. Preemergent weed treatment was applied in August. Lots of monsoon damage. Clean-up was completed, and nine trees were removed.

Activities: Many exciting events are planned for the upcoming season.

Committee Liaison Reports:

ACC: There have been 335 permits year to date, compared to 343 for the past year.

Finance: The committee had the initial review of the proposed budget. The committee will meet again next month to review the budget and make their recommendation to the board.

Golf Club/HOA: There were no meetings through the summer, and none are scheduled.

Rules: There were no meetings through the summer. Looking at stop sign running.

Project Review and Planning: Marianna reported that Layne Varney’s and Chuck Heitbrink’s reports covered the reports over the summer.

Welcoming and Marketing: There were no meetings through the summer. No report.

The Election Committee report was given by Teri Bittler. They are in the process of preparing ballots.

Nancy Eckstein asked for volunteers to review the Book of Governance. Marianna Buescher and Chuck Heitbrink volunteered to assist.

The 2026 Budget first review was discussed.

Nancy Eckstein gave an update on the Klatt vs. SunBird Golf Resort HOA lawsuit.

Nancy Eckstein read the golf course’s demand letter and replied that a response was being written.

Layne Varney reviewed the Homeowner Comment Sheet.

Comments were made by homeowners and directors.

The meeting was adjourned at 10:48 a.m.
