Board of Directors had a Business meeting on March 25, 2019, in the SunBird Ballroom. The following are notes from this meeting:
Members Present: Nancy Eckstein, Tammy Bachofner, Shirley Clark, Dan Buescher, Gordon Lee, Bob Moren and Layne Varney, General Manager
Members Not Present: Linda DiPalma
President Nancy Eckstein called the meeting to order at 10:00 a.m.
Review and Acceptance of February 25, 2019, Business Meeting; February 26, 2019, Auditor Meeting; and March 11, 2019, Agenda Planning Meeting minutes were approved as presented.
Treasurer’s Report – Tammy Bachofner reported the February 2019 financial statements. Also reported some ideas of accomplishing the Board Goal to educate SunBird on the financial operations through articles in the SunBird News, website and email blasts.
Manager’s Report – Layne Varney reported the collection status of annual dues are going well. Home sales in are continuing at a high rate and many people looking at SunBird to buy. Auditor completed the 2018 financial audit and reported a clean opinion of the financials practices, operations and statements. Many new activities going on in SunBird and very well attended.
Committee Liaison Reports Presented by Board Members.
Marketing Committee report by Gordon Lee – Presented a newly-drafted SunBird color marketing brochure and pass-along business card, both advertising SunBird. Board unanimously accepted the new design for print and publishing.
Architectural Control Committee requested approval for Rich Volpe as an additional member. Board voted and approved this request.
Project Review and Long Term Planning Committee presented two projects for Board review and approval: 1) the installation of solar lights to light the SunBird Golf Resort signs at the corner of Cooper and Riggs Road. After discussion concerning this proposal, the Board voted unanimously to approve the purchase and installation of these lights for $250; 2) the purchase and relocation of the an outdoor refrigerator and freezer for the BBQ cooking area. This project requires contractor work for additional power needed in this area. Total cost of the project is $8,900. Over $5,000 in donations by SunBird clubs have been received for this project. After review and discussion, the Board unanimously approved this project.
The two proposed CC&R amendments regarding restrictions on rental property and level 2 and 3 sexual offenders from residing in SunBird was approved by the membership meeting the requirements. SunBird’s attorney has provided an authorization form to be completed by the Board to finalize and record the amended CC&Rs. A motion was made to accept the results approved amendments by the membership and authorize Nancy Eckstein, president, to authorize the documents necessary for this. Board voted unanimously to approve.
The Tennis Club requested approval for a temporary reciprocal agreement with Springfield for use of each other’s sport courts. SunBird’s sport courts are scheduled for work this summer, and Springfield’s courts are also. After discussion, a unanimously-approved motion was made to authorize Layne Varney to carry out a temporary reciprocal agreement with Springfield only during the time of court construction at each other’s community.
The Board reviewed schedule and agreed on a time for an educational meeting at our attorney’s office on May 16.
