Board meeting notes

The Board of Directors had a Business meeting held Monday, October 26 at 6:00 p.m. in the Ballroom. These are the notes from this meeting.

Notes from the Board Meeting

The October 26 HOA Board meeting was called to order at 6:00 p.m. All members of the Board were present. The minutes of the September 26 business meeting were accepted.

Gordon Lee gave the Treasurer’s report.

Layne Varney gave his manager’s report. He stated that the pool grand opening held on October 22 was a great success with many activities held during the day and evening. Horizon Room sales year-to-date are up 29 percent. Thursday night dinners and Sunday breakfast buffets are picking up with so many residents returning. Trivia, karaoke and the NFL Ticket each Sunday are increasing in popularity. Improvements and upkeep around the Clubhouse continue. The road work is finally completed after some rain delays. If you want it to rain in SunBird, schedule road work!

Committee Liaison Reports

Going Green Committee:

Jean Pritchard reported that the committee’s chairman passed away this summer and the committee will be reorganizing at their next meeting.

Rules Committee:

Nancy Eckstein reported the committee met on October 5. It was reported that revisions to the rules pertaining to smoking and estate sales were passed by the Board at their September 28 meeting. The next meeting was on November 2 at 1:00 p.m.

Project Review Committee:

Dee Brown-Knoeppel reported the committee met on October 1. Home sales through September 9 total 101, six more than budgeted for. There has been some tweaking at the new pool; drain installed at new shower and longer hand rails installed on dual rails. Two benches for the bocce ball courts have been ordered and a scoreboard/announcement case will be installed. The next scheduled meeting is November 5.

ACC Committee:

Pat McGonegle reported the committee is once again meeting twice a month. They are working on the issue of fences of homes along the golf course. With more snowbirds returning, the committee will be looking harder at homes needing maintenance. Their next meeting is October 28.

Marketing Committee:

Chuck Warren reported that the committee will no longer have a booth at the Mesa Swap Meet as home sales in SunBird are going very well.

Finance Committee:

Gordon Lee reported the committee met on October 5. There were not enough members present to have a quorum and a general discussion took place about the current affairs of SunBird and then adjourned.

Dana Smith was nominated and approved as a new member to the Project Review and Long Range Planning Committee. Additional funds were approved to complete the upgrades to the small pool to comply with County building codes.

Nominees running for the two positions that will be available on the Board at the end of the year are Delores Brown-Knoeppel and Donald Calvert. Ballots were mailed out on November 2 and the voting deadline is December 15. The ballots will be counted on December 16. The question was asked as to why an election still needed to be held since only two people are running for the two positions. Directors must be elected and cannot just be appointed. Layne will get a legal opinion on whether we can dispense with an election in the future if there are the same number of positions available as people running.

The 2016 Budget was approved, a copy of which can be obtained at the office.

The meeting schedule for the remainder of the year is as follows: Board Agenda Planning meeting will be on November 9 at 1:00 p.m., November Business meeting will be on November 23 at 6:00 p.m., and the December Agenda Planning and Business meetings will both be held on December 14 at 1:00 p.m. The December Board of Director meeting: Business meeting is Monday, December 14 at 1:00 p.m. in the Ballroom.

The meeting adjourned at 7:30 p.m.
