Board of Directors meeting notes

President Gordon Lee, called the meeting to order at 6:00 p.m. All members of the Board were present.

Jean Pritchard reported that the Golf Club/HOA Committee met on January 12. The Golf Club reported that ‘no dog’ restriction signs have been installed on the south side of the Clubhouse lake. Anyone with questions/concerns regarding this should call the Pro Shop. They discussed golf tournaments and catering arrangements. Tournament groups are sometimes requesting $3 meals from the Horizon Room. It was suggested that groups planning tournaments be prepared to look for catering at reasonable prices. Some groups prefer to hold their tournament lunches on the patio and there was a discussion regarding charging a use fee for the barbeque area, grills and Ballroom for those events.

Jean Pritchard reported that the Going Green Committee met on January 7. It is holding its annual shredding day on March 17 from 9:00-11:00 a.m. in the Waterview parking lot. They are continuing to research the medical information thumb drive program.

Nancy Eckstein reported the Rules Committee met on January 4. The committee discussed the issue of age restrictions for use of facilities. The age restrictions now vary and the change makes the minimum age consistent for all amenities. This will make it easier to monitor the use of the facilities by Patrol and staff. The next meeting is on February 1 at 1:00 p.m.

Dee Brown-Knoeppel reported the Project Review Committee met on January 7. She reported that 130 homes were sold in 2015. The repainting of Pickleball lines on two courts and the purchase of four nets was completed. A discussion was held on changing the land usage where the temporary bocce ball court is now located. The committee discussed the possibility of adding tile signs similar to the one on the Riggs Road entrance to the Hunt/Cooper entrance and the Riggs/Cooper corner. The next scheduled meeting is February 4.

Pat McGonegle reported the ACC Committee met on January 13. A total of 495 permits were approved in 2015; 29 permits were approved within 30 days from its last meeting, the majority for roof issues. Pre-emergence weed treatment has been done at SunBird common areas. She suggested that homeowners consider this type of treatment for their homes as it will keep the weeds down as we head into spring and summer.

Chuck Warren reported that the Marketing Committee will meet on February 18.

Don Calvert reported the Finance Committee met on January 6. The December financials were reviewed by Layne Varney. Delinquencies are down compared with 2014 which is good news. He stated that the Horizon Room was $77,000 over budget and that the HOA Board will be meeting with managers of the restaurant to discuss remedies. Layne is putting together a successor plan.

Barbara Ott, Election Chairman, reported the election results for the new Board candidates. They were 581 votes for Don Calvert and 559 votes for Dee Brown-Knoeppel. She thanked all the volunteers who helped count the ballots. Jean Pritchard made a motion to accept the final election report. Motion passed 7-0.

Upon the recommendation of the Finance Committee, Don Calvert made a motion to accept Marlene Scartozzi as a member of that committee. Motion passed 7-0.

Dee Brown-Knoeppel suggested having the bocce ball area designated as a recreational area rather than a common area. This would include making the bocce ball area permanent; adding a second court, benches, grills, and shade covers. The Board asked that the Project Review Committee bring back sketches, costs, etc. to the February meeting. Since the area is owned by the golf course and leased by the HOA, the Board will take information to the Golf Board.

Jean Pritchard spoke regarding medical information flash drives for SunBird residents that the Going Green Committee is researching. More information is needed in regards to the HOA liability of such devices, how non-computer people would put their information into the flash drive, and what the cost would be. She will report back to the Board at the next meeting.

Nancy Eckstein made a motion to approve the recommendation of the Rules and Regulations Committee to revise the age restrictions for facility use in SunBird to be 14-17 with supervision except the Clubhouse swimming pool which would be 14 and under. The small swimming pool would remain for adults only. An additional statement would read “Any amenities not mentioned above, please follow the published age limits.” The age restriction changes would be reflected in each area of the rules that refer to ages. Motion passed 7-0.

Our dues supports all the amenities in SunBird which includes the amenity of the Horizon Room. Layne gave background on the restaurant; how it has grown and surpassed expectation and the challenges this growth has generated. The cost to running the restaurant last year was higher than budgeted for. He recommended the Board review or study wants and needs of the community. Jean Pritchard made a motion to form a committee to work on Horizon Room operations and future challenges. The following will serve on the committee: Nancy Eckstein, Don Calvert, Dee Brown-Knoeppel, Jean Pritchard and Gordon Lee as head of committee. Motion passed 7-0. After the Board has met, community involvement will be encouraged.

Gordon Lee reported that suggested goals submitted by members of the Board at the January 11 Agenda Planning meeting will be discussed at the February 8 Agenda Planning meeting with a vote on them at the February 22.

March Board of Director meetings: Agenda Planning meeting is Monday, March 14 at 1:00 p.m. and Business meeting is on Monday, March 28 at 6:00 p.m. All meetings are scheduled to meet in the Ballroom. General annual Membership meeting is Monday, March 7 at 7:00 p.m. in the Ballroom.

SunBird Golf Resort Homeowners Association annual General Membership meeting is on Monday, March 7 at 7:00 p.m. in the Ballroom. The purpose of this meeting is to report to the membership regarding the business and operations of 2015.
